Excellent benefits once permanent1 Job Summary: Join our team as an Accounting Assistant in the Multi-Parish/School Accounting Department. Under the direct supervision of the Manager, you will contribute to the stewardship of physical, financial, and personnel resources of the parish. Your role will involve assisting with various financial and administrative tasks, ensuring compliance with policies and procedures, and supporting the efficient functioning of our organization. Essential Duties and Responsibilities:

  • Maintain a calendar listing meetings, appointments, workshops, seminars, conferences, etc.
  • Demonstrate a working knowledge of Generally Accepted Accounting Principles (GAAP) and fund accounting, including internal controls.
  • Ensure adherence to internal controls and evaluate their effectiveness.
  • Maintain a good working relationship with co-workers and uphold confidentiality.
  • Display attention to detail and resolve problems in a timely manner.
  • Work within approved budgets, implement cost-saving measures, and conserve organizational resources.
  • Uphold the values of the Church and act with integrity and ethics.
  • Participate in regular staff meetings as directed by the Manager.
  • Troubleshoot computer software-related issues.
  • Possess a reliable means of transportation, valid driver's license, and proof of personal automobile insurance.
  • Perform other related duties as assigned. Financial Responsibilities:
    • Assist in the completion and processing of payroll.
    • Track benefit days, if applicable.
    • Support the preparation of annual inventory and self-grading reports, if needed.
    • Prepare Quarterly-Annual Reports to stakeholders.
    • Maintain proper vendor records for assigned locations, ensuring compliance with 1099 and insurance requirements.
    • Review vendor contracts, leases, and quotes from equipment providers.
    • Assist with parish/school insurance evaluation and meeting diocesan requirements.
    • Collaborate with accounting firm on accounting entries and bank reconciliation issues.
    • Aid in the preparation of annual budgets and monitor monthly performance against budget.
    • Review financial statements, journal entries, and reconciliations.
    • Manage parish operational and financial records.
    • Oversee bookkeeping functions, including payables, receivables, and all revenue and expense transactions.
    • Ensure compliance with diocesan policies for payroll withholding.
    • Follow procurement procedures for goods and services.
    • Provide analysis of financial data.
    • Support Level III Accountants with fiscal audits and auditing services.
    • Monitor all financial transactions. Personnel Responsibilities:
      • Assist Level III Accountants in maintaining employee job descriptions and personnel policies.
      • Facilitate required employee paperwork and collaborate with the HR department.
      • Train staff and volunteers on software, budgeting, and financial matters.
      • Maintain a working knowledge of personnel issues. Public Relations:
        • Maintain professional relationships with stakeholders, including pastors, staff, volunteers, and diocesan personnel.
        • Understand the relationship between the parish/school and diocesan departments.
        • Facilitate communication and documentation between staff, volunteers, and HR, Finance, and Stewardship departments.
        • Ensure compliance with diocesan policies and procedures as well as federal/state laws. Supervisory Responsibilities:
          • This position does not have any supervisory responsibilities. Qualifications:
            • Baccalaureate degree in business administration with a major in accounting required.
            • Minimum of two or more years of experience in accounting, with management/supervisory experience preferred.
            • Proficiency in operating business office equipment and computer software, including Microsoft Office, accounting packages, payroll systems, and database programs.
            • Strong language skills with the ability to read, analyze, and interpret business documents and effectively communicate information to diverse audiences.
            • Solid mathematical skills for calculations and data interpretation.
            • Strong reasoning ability to define problems, collect data, and draw valid conclusions.
