Summary: The Multi-Parish/School Accounting Department Assistant provides support to the Manager of Multi-Parish/School Accounting Department in stewarding the physical, financial, and personnel resources of the parish. This position plays a vital role in ensuring responsible resource management and upholding the mission and purpose of the Church. Essential Duties and Responsibilities: General:

  • Maintain and update the calendar for meetings, appointments, workshops, and conferences
  • Demonstrate knowledge of Generally Accepted Accounting Principles (GAAP) and fund accounting, including internal controls
  • Follow internal control procedures and assess their effectiveness
  • Foster good working relationships with colleagues
  • Maintain confidentiality of all materials
  • Pay attention to detail and exhibit problem-solving skills
  • Adhere to approved budgets and implement cost-saving measures
  • Conduct oneself with integrity and in accordance with Church values
  • Engage in self-development activities and exhibit original thinking
  • Perform well under pressure
  • Attend regular staff meetings as directed by the Manager
  • Troubleshoot computer software-related issues
  • Possess reliable transportation, valid driver's license, and personal automobile insurance
  • Perform other related duties as assigned Financial:
    • Ensure completion and processing of payroll
    • Track benefit days, if applicable
    • Assist in preparing annual inventory and self-grading reports, if needed
    • Prepare Quarterly-Annual Reports for various stakeholders
    • Maintain vendor records for 1099 and insurance purposes
    • Review vendor contracts and leases, assisting with equipment provider quotes
    • Assist in preparing annual budgets and monitor monthly performance
    • Manage parish operational and financial records
    • Handle bookkeeping functions, including payables, receivables, and revenue/expenses
    • Ensure compliance with diocesan policy for payroll funds withheld
    • Follow procurement procedures for goods and services
    • Provide financial data analysis, if needed
    • Support Level II Accountants with fiscal audits and auditing services
    • Monitor all financial transactions
    • Assist with data entry of budgets and research invoices and payments
    • Work with Claims Risk Manager on Service Provider/Vendor Agreements
    • Obtain Form W9s from individuals and input check requests for processing
    • Maintain employee leave records and organize electronic filing system
    • Assist in organizing files/shredding for each serviced location
    • Handle HR duties within the parishes in the MPSA program
    • Assist Parish Secretaries with contribution software for deposit accuracy
    • Deliver and pick up work in the absence of MPSA, as directed
    • Perform other related duties as assigned Personnel:
      • Support HR department with employee paperwork, if needed
      • Maintain working knowledge of personnel issues Public Relations:
        • Maintain professional relationships with various stakeholders
        • Serve as a liaison between Parish/School and Diocese
        • Understand the relationship between Parish/School and Diocesan departments
        • Facilitate proper documentation with HR, Finance, and Stewardship departments
        • Maintain proper documentation for Federal/State Law compliance Supervisory Responsibilities: This job does not involve supervisory responsibilities. Qualifications:
          • Associate's degree in business administration with a major in accounting
          • Minimum of two years of experience in accounting, with preferred management/supervisory experience
          • Proficiency in operating business office equipment and computer software (Microsoft Office, accounting packages, payroll systems, and database programs) Language Skills:
            • Ability to read, analyze, and interpret business periodicals, journals, and technical procedures
            • Effective report writing and business correspondence skills
            • Ability to present information and respond to questions from various stakeholders Mathematical Skills:
              • Proficiency in basic mathematical operations, measurements, and graphical interpretation Reasoning Ability:
                • Strong problem-solving and analytical skills
