Position Overview This position is responsible for supporting the basic administrative functions of the Human Resources and EHS departments. Works with the Human Resources and EHS Managers and other team members to maximize the efficiency of the departments in support of the organizational goals and standards. Will split time evenly between both departments. Key Responsibilities (Essential Duties and Functions) - Prepares reports and maintains safety/HR files and documentation, records, safety incentive program and training database. Monitors training database for expiration of training dates, assist with scheduling training. - Assist in teaching defensive driving course to employees authorized to drive company vehicles. - Assist in preparing notices required by OSHA, and other agencies. - Assist Human Resource Manager with hiring process, including composition of job postings/advertisements/descriptions, screening of applications/resumes, offer letter preparation, coordination of drug screenings and conducting new hire orientations. - Ensure proper paperwork is completed and forwarded to appropriate personnel and hiring managers. - Assist with administrative responsibilities including, but not limited to, data entry, scanning, filing, tracking information. - Organize and assist in conducting weekly toolbox talks and monthly safety training. - Assist with plant and roadway incident investigations and document all accidents, safety violations, unsafe conditions/activities to find root cause and make recommendations for improvement. - Assist with overseeing, evaluating, and continuously improving the company safety program to achieve and maintain our zero-harm goal, ensure compliance with occupational safety and health policies and regulations, and reduce or eliminate occupational injuries, illnesses, deaths, and financial losses. - Assist with workers' compensation claims, assuring all documentation/injury forms are received timely and sent to company insurance carrier per their requirements. - Maintain environmental health and safety systems with current data, ensure policies and training are current. - Process employee terminations, including entry, and routing of appropriate paperwork. - Assist EHS and Human Resources Managers with required training, including preparation, review and distribution. - Maintain adequate supply of human resources forms, including employee handbook, files, etc. - Provide support/back-up of incoming phone calls relating to human resources and safety needs. - Maintain professional demeanor in dealing with critical/confidential information; restricts discussion/knowledge of activity to a 'need to know' basis. - Complete project work as assigned in a timely manner. - Regular and predictable attendance at assigned times is required. - Other duties as may be assigned by the EHS and Human Resources Managers. Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education/Experience - High School diploma or general education degree (GED) required. - 1-3 years related experience in an office setting, performing administrative tasks. - Experience in a construction environment preferred. Work Requirements - Knowledge of Safety, Occupational Hygiene, Contractor Safety, Occupational Health, Process Safety Management, Driving Safety and Training is a plus. - Must be proficient in Microsoft Word, Excel, PowerPoint, and Outlook. - Must be 18 years of age or older. - Must pass pre-employment physical, drug screen and criminal background check. - Must possess a valid driver's license and able to safely drive a vehicle. - Report to the office dressed appropriately and ready to begin work at the designated start time. - Strict adherence to safety requirements and procedures as outlined in the Employee Handbook. - Willingness to work in a team environment and assist co-workers or supervisors with other duties as required. - Individuals are required to wear personal protective equipment (PPE) in designated operations and production areas as stated by OSHA and/or MSHA. - Compliance with and strong ability to research all OSHA and/or MSHA regulations. Knowledge/Skill Requirements - Highly developed verbal and written communication skills and an ability to work with Management. - Bilingual a plus. - Strong problem-solving skills preferred. - Ability to work independently. - Ability to perform under deadline pressure. - Ability to meet attendance schedule with dependability and consistency. - High standard of ethics, integrity, and trust. Physical Requirements The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. - Able to stand, walk, use hands and fingers to manipulate objects, talk and hear. - Vision abilities (with correction) include close, distance, peripheral, depth, and the ability to adjust focus. - The employee is frequently required to sit or stand for long periods of time. Work Environment - Standard office environment. - Tempo is fast-paced with deadlines. - The noise level in some areas of the work environment may be moderate.
