Position Specifications Reports to: Managing Director Debris Position Location: Multi Location Position Type: Temporary Full Time FLSA Classification: Non-Exempt Compensation: Commensurate with experience Travel Requirements: 25% travel required Position Summary We are a growing consulting firm in need of a reliable and talented Debris Admin. Your work as Debris Admin will make a real difference as you support the Debris team with various tasks, including HR tasks, Contracts, Business Development and Operations. Your work will directly impact our ability to properly manage Debris projects, enabling us to successfully initiate and deliver projects, and rapidly respond to our clients' needs by having boots on the ground immediately after disaster strikes. The ideal candidate will have demonstrated experience supporting activities related to administrative task and oversight of key deliverables on the assigned project. This position will interact with HR, Contracts, Business Development and Operations, requires executive presence, and strong verbal and written communication skills. We are looking for a self-motivated, responsible and confident individual with a commitment to integrity and the ability to prioritize multiple projects, meet deadlines, and work collaboratively with minimal supervision. Essential Functions The candidate will perform the following essential functions: HR- task Strong excel and tracker based skills and background Administer and coordinate the Debris Bench (cadre) listings with HR and Debris Ops Assist in development of KSA, job task and responsibilities, contact data etc. Contracts Maintain and support client data for client profile database currently in development Track and maintain schedule of Client contracts, tracking active dates, expiration dates, contract data, etc. Client Pre-event meeting scheduling and tracking Client Pre-event meetings Other contract specific issues Business Development Assist in RFP advertisements, tracking log Proposal development schedule & assignments General RFP-Proposal support to Staff and Proposal Shop Operations Assist in training program updates and development Coordinate and assist with inventory management and controls Assist in updates, reviews and development of Debris Operations procedures, protocols & Con-Ops plan Daily operations issues and coordination Client Activations and Response Response Task assist and coordinate the following Assist in overall operational coordination and project tracking Assist with Personnel tracking issues Inventory tracking & management issues Assist Personnel Deployment scheduling and tracking Assist in Logistics tracking Personnel Demobilization tracking and coordination Project start up and coordination of staffing requirements Liaison with HR Division on HR and project specific issues and document controls Liaison with Finance on payroll and time tracking issues, payroll procedures and issues. Assist with Finance tracking, Project NTP, NTE and project cost for ongoing operations. Assist Project Managers with client issues and documentation QA/QC project deliverables and reporting standards. Assist Data Managers with contractor reconciliations Preferred Skills and Abilities The candidate should possess the following: Positive, friendly, courteous customer and client skills Good teamwork and cooperation skills Ability to follow safety protocols and work instructions at all times Authorization to work in U.S. without sponsorship Ability to pass a drug screen, motor vehicle, and criminal background check Valid State Driver's License Possess a cellular phone with charger Excellent Microsoft Soft Skills and advance Excel user Able to work as early as 6:30 a.m. and possibility to work seven days a week during response period; around potentially to work 12 hours per day Able to work up to 40-50 (or more as needed) hours per week as needed during response period, including weekends Ability to work in high degree temperatures with high humidly for long periods during the day Ability to drive and work in areas with disaster and harsh outdoor conditions Education and Experience Requirements The candidate must possess the following education and experience requirements: Degree: Required High School Diploma or GED, Preferred Associates Degree Years of Experience: 2 to 5 years as a prior Admin / Executive Admin / Receptionist Certifications: Related certifications to Admin task This position description incorporates the core responsibilities of the job.
