Job Description:

Duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication.Responsible for recruiting and other functions to support HR.Directs and coordinates office services and related activities, as well as providing administrative support to the Plant Manager.Responsible for arranging internal office moves, providing arrangements for office meetings, and transporting visitors to and from the plant gate entrance.Reports to the HR Manager.


Essential Job Functions

Administrative:

Performs general office duties and clerical duties, such as making copies, preparing agendas, filing and retrieving documents, records and reports.

Oversees the reception area:

oAnswers and directs phone calls.

oReceives and distributes office mail.

oGreets visitors, staff, and others in a professional and courteous manner.

oProvide visitor authorization passes and transport visitors to and from the entrance gate.

Coordinates schedules, meetings, appointments, and travel for office personnel as required.

Coordinates the maintenance and alteration of the office areas and equipment, as well as layout, arrangement, and housekeeping of office facilities.

Purchases office supplies, furniture, office equipment, business cards, flowers, etc. for staff in accordance with company purchasing policies and budgetary restrictions.

Order and pick-up service awards for employees

Supervises the maintenance of office equipment, including copiers, coffee machines, etc.As well as coordinate with the food vendor in the maintenance building

Coordinates with departments as required by answering questions and providing assistance.

Informs management appropriately of area activities and of any significant problems.

Attends and participates in meetings as required.

Performs miscellaneous special projects as assigned.

Provide various reports as needed.

Update/maintain organizational charts with changes as they occur.

SAP Functions of new vendor entry, prepare/track shopping carts and enter purchase orders for approval.



QUALIFICATIONS

Licenses, Certifications, and/or Registrations

None

Education, Experience, and/or Training

High school diploma or equivalent required, college degree preferred.

Knowledge of basic HR and Recruiting functions required.

2-3 years of providing HR administrative support preferred.

2-4 years experience working as an administrative role in an office environment, or similar job required.

Knowledge, Skills, and/or Abilities

Ability to ask probing questions to better understand candidates and make educated hiring recommendations.

Superb communication (verbal and written) skills, with attention to detail.Communicates professionally, effectively, timely and courteously.

English Language - Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

  • Excellent interpersonal skills, requiring constant interaction with company employees which requires a positive demeanor throughout even the most difficult situations.

Clerical - Knowledge of administrative and clerical procedures and systems such as managing files and records, designing forms, and other office procedures.

Inclination towards working with urgency without sacrificing minor details.Works well under pressure with tight deadlines

Customer and Personal Service - Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

Must be dependable and detail oriented.This position requires the individual to consistently be at work and on time, follow instructions, respond to management direction, and solicits feedback to improve performance.

Excellent time management and ability to multi-task and prioritize work.Highly organized and adapts to quickly changing priorities.

Capable of handling confidential information with sensitivity and maintaining all confidential information is a must.

  • Capable of planning/organizing as well as prioritizing work activities while using time efficiently and wisely.

Always presents a professional image to clients and vendors and maintain a positive reputation of the company.

Work extra hours and extended schedule when needed Plant outages and turnarounds.

Proficiency in Microsoft Office, including Excel, Word, PowerPoint, and Outlook - required.

Ability to lift 10 lbs. occasionally.

Ability to effectively communicate through various means required.

Work is performed within an office environment, including office equipment such as computers, telephones, and copiers.

Work is performed in the field, requiring proper safety equipment.
